Credential Overview

FOR 2022, PRE-REGISTRATION IS REQUIRED. FOR SECURITY PURPOSES NO WALK-UP REGISTRATIONS WILL BE ACCEPTED.

Before requesting credentials, please review our credential definitions and requirements on this page. Failure to familiarize yourself with our requirements could delay the processing of your credential request. The link to the form is at the bottom of the page.

By accepting media credentials, you acknowledge, on behalf of yourself or as an authorized representative of your company,  your understanding and acceptance of SUN ’n FUN’s broadcast, film, video, trademark and copyright policies, and further understand that the issuance of the SUN ‘n FUN Media Credential and admission to the SUN ’n FUN campus is conditional upon your acceptance of the policies. This policy is listed on this website.

The number of media credentials issued to each media outlet will be limited to a reasonable number at the discretion of SUN ʼn FUN.
• Video/Film crews – limit 4 crew and 2 talent
• Radio or Podcast crews – limit 2 crew and 2 talent
• Print or Internet media – limit 1 photographer and 1 reporter

Any personnel over that limit will be encouraged to purchase admission tickets. Exceptions may be considered by sending a detailed explanation of the need to media@flysnf.org

Note: Press IDs from organizations that charge a fee for the ID are not sufficient for media credentials.

Registered media representative e-mail addresses are collected for the purpose of forwarding news updates and press releases from SUN ʼn FUN throughout the year. This list will not be shared with exhibitors, sponsors, vendors or event guests.

SUN ʼn FUN reserves the right to request additional information and may approve or reject credential requests at its discretion. Included on the form is a request for a hyperlink to prior coverage of the SUN ‘n FUN event. This section of the form MUST be completed, or SUN ‘n FUN holds the right to deny credentials.

Applications must include the requested information in order to be processed in a timely manner.

Definitions & Eligibility

Working Media
SUN ʼn FUN media credentials are for working media representatives only. Media credentials will not be issued to family members, friends, children or those working in marketing, advertising, promotions or sales. Company executives, management personnel, or corporate officers do not qualify for media credentials.

Entities under contract with SUN ‘n FUN such as sponsorships, partnerships, exhibitors, etc. may be issued Media Credentials in support of the agreement only.

Print and Broadcast
Print and Broadcast Outlets that have not covered SUN ʼn FUN within the past two years will be required to meet the print/broadcast requirements. Again, pre-registration is required since at show site we will not be able to verify the above in a timely manner.

Video/Film Production Crews
Film/production (non-news) must be pre-approved by the SUN ʼn FUN  Director of Marketing before receiving credentials. In most cases a separate licensing agreement must be negotiated and the appropriate fee paid. Licensing agreements must be negotiated and completed within 30 days of the event and will not be issued onsite. For additional information contact media@flysnf.org 

Photographers

  • All photographers should be on assignment from a publication or website (with an assignment letter and outlet credential)  OR identified as the sole photographer by an airshow performer.
  • Each photographer assigned by a qualifying media outlet is entitled to one media credential for themselves. The request should be submitted by the media outlet – not the individual photographer.
  • Airshow Performers are allowed one (1) media credential for a photographer identified by a team/individual performer. That credential will be included within the agreed to contract between the Airshow Performer and SUN ‘n FUN.
  • No assistants or other crew members are eligible for credentials. Exceptions will be handled on a case-by-case basis by sending an email with a detailed explanation to media@flysnf.org
  • Credentialed photographers must wear their media credentials and vest at all times in order to gain access to the official media towers/areas.
  • Photographers will be issued credentials for editorial shooting only. Photographers working for stock houses, resale and other commercial purposes will not be credentialed.
  • Freelance and amateur photographers are encouraged to purchase admission tickets and upgrade to Preferred Photo Seating.

Social Media, Websites and Digital Newsletters
SUN ʼn FUN does not automatically recognize websites and on-line newsletters as working media outlets for the purposes of qualifying for media credentials. We understand that many newsletters, websites and bloggers are distributing information to club members and/or the general public and may benefit from interaction with exhibitors and vendors. We are unable to issue media credentials to every digital site or publication. A representative of these organizations is welcome to request credentials via the online application and SUN ʼn FUN may authorize credentials. If your request is declined, we encourage you to purchase an admission ticket to write / blog / video the experience this year and resubmit the request next year referencing the work you had published.

Student Projects
Student communication studies, videography or similar groups will be considered for credentials for one day of the event. A formal request from the instructor with an outline of the project, names of students, and, ultimately, the final product should be sent to media@flysnf.org

SUN ‘n FUN Media Center

We are pleased to announce that we once again will be able to utilize the Tom Davis Center as the Media Center for the SUN ‘n FUN Aerospace Expo. Press Conferences will be located at the Press Tent located between the Seaplane Assoc. HQ Bldg and Exhibit space SNF5.

There will be no access to the second floor of the old airshow announcer stand. There may be other locations where credentialed photographers may be escorted, if registered, and they must be in receipt of a SNF Provided Media hi-vis vest to access the photo stand. The Preferred Photo Seating is available for an additional fee.

Several possibilities for media flights will be made available and will be assigned at the discretion of SUN ‘n FUN and the flight provider. Announcements related to these flights are typically made during the Morning Briefing in the media center.

We are proud to offer a facility that addresses the needs and comfort of the media representatives working at SUN ‘n FUN. While the center offers a spacious facility, it remains reserved for those with SUN ʼn FUN media credentials only and press conference representatives. We strive to maintain a professional working atmosphere reserved for credentialed media representatives.

Please note: guests, family (including children), friends, or other company personnel of any credentialed media representative will not be admitted to the building or the center’s outside facilities. Media breakfasts, lunches, and receptions are sponsored events and are reserved for the working media representative only, unless otherwise advised.

The morning briefing by John “Lites” Leenhouts, CEO of SUN ‘n FUN Fly-In, Inc.  will be held on the back porch at 8:15 a.m. Tuesday through Saturday with daily special guests.

As a condition of receiving media credentials for the 47th Annual SUN ’n FUN Aerospace Expo, (herein after “Activity”), I (together with my custodial parent or guardian, if I am under the age of eighteen or under a legal disability) represent, covenant and agree, on behalf of myself and my heirs, assigns, and any other person claiming by, under or through me, as follows:

  1. I understand and agree that SUN ’n FUN Fly-In, Inc. (SnF, Inc.) is the owner of all trademarks, copyrights and other proprietary rights connected to SnF, Inc. and retains all worldwide rights. Any broadcast, rebroadcast, or use of any accounts, pictures, or descriptions of events (with the exception of news broadcasts by legitimately accredited and credentialed news media) without the expressed written permission of SnF, Inc. is prohibited. All SnF, Inc. events, including the annual SUN ’n FUN Aerospace Expo are proprietary to SnF, Inc., and attendance or exhibition at the same is subject to SnF, Inc.’s policies and requirements, as well as all applicable laws. Rights may have been granted to national and international broadcast, cable, and satellite services and additional restrictions imposed by those services may also apply.  I have read SnF, Inc.’s Media Guidelines and Policy in its entirety and agree to abide by that policy as a condition of my receiving media credentials.   2. I acknowledge that participating in the Activity involves certain risks (some of which I may not fully appreciate) and that injuries, death, property damage or other harm could occur to me or others.  I accept and voluntarily incur all risks of any injuries, damages, or harm which arise during or result from my participation in the Activity, regardless of whether or not caused in whole or in part by the negligence or other fault of SnF, Inc., Aerospace Center for Excellence, Inc. (ACE, Inc.), and-or their departments, affiliates, employees, trustees, officers, agents or insurers (hereinafter “Released Parties”)
  3. I waive all claims against any of the Released Parties for any injuries, damages, losses or claims, whether known and unknown, which arise during or result from my participation in the Activity, regardless of whether or not caused in whole or part by the negligence or other fault of any of the Released Parties.  I release and forever discharge the Released Parties from all such claims.
  4. I agree to indemnify and hold the Released Parties harmless from all losses, liabilities, damages, costs or expenses (including but not limited to reasonable attorneys’ fees and other litigation costs and expenses) incurred by any of the Released Parties as a result of any claims or suits that I (or anyone claiming by, under or through me) may bring against any the Released Parties to recover any losses, liabilities, costs, damages, or expenses which arise during or result from my participation in the Activity, regardless of whether or not caused in whole or part by the negligence or other fault of any of the Released Parties.

I have carefully read and reviewed this Agreement, Waiver, Release and Hold Harmless statement.  I understand it fully and I execute it voluntarily.

Media Guidelines

Broadcast, Film | Video

SUN ‘n FUN Fly-In, Inc. (SnF, Inc.)  is the owner of all trademarks, copyrights and other proprietary rights connected to its SUN ’n FUN Aerospace Expo (SnF) and retains all worldwide rights. Any broadcast, rebroadcast, or use of any accounts, pictures, or descriptions of SnF (with the exception of news broadcasts by legitimately accredited and credentialed news media) without the expressed written permission of SnF, Inc. is prohibited. All SnF, Inc. events, including the annual SnF are proprietary to SnF, Inc., and attendance or exhibition at the same is subject to SnF, Inc.’s policies and requirements, as well as all applicable laws. Rights may have been granted to national and international broadcast, cable, and satellite services and additional restrictions imposed by those services may also apply.

This policy includes any and all Recordings (of any nature, to include broadcasts, moving and still images, sound etc. regardless of the means of capture or storage used – e.g. film, digital, video, or other format/media) from SnF, Inc. including but not limited to the following: all activities which may take place within the entire SnF, Inc. campus and event area, to include, but not limited to: flight line areas, the Florida Air Museum, SUN ’n FUN campground, Sunset Grill, Media Center, Paradise City, Davis Education Center, Buehler Restoration Center, Hospitality Center and The Pavilion.

Television stations, networks, cable systems, and other media outlets are prohibited from making recordings available to any other organization without advance written permission from SnF, Inc.

General Commercial News Media

SUN ‘n FUN Fly-In, Inc. (SnF, Inc.) is the owner of all trademarks, copyrights and other proprietary rights connected to its SUN ’n FUN Aerospace Expo (SnF) and retains all worldwide rights. Any broadcast, rebroadcast, or use of any accounts, pictures, or descriptions of SnF (with the exception of news broadcasts by legitimately accredited and credentialed news media) without the expressed written permission of SnF, Inc. is prohibited. All SnF, Inc. events, including the annual SnF are proprietary to SnF, Inc., and attendance or exhibition at the same is subject to SnF, Inc.’s policies and requirements, as well as all applicable laws. Rights may have been granted to national and international broadcast, cable, and satellite services and additional restrictions imposed by those services may also apply.

  • SUN ’n FUN is the only authorized library for SUN ’n FUN Recordings.
  • No commercial entity shall maintain or service a film or videotape library of SUN ’n FUN footage, except as specifically authorized in writing by SUN ’n FUN.
  • No individual or commercial entity shall intercept and/or record any video feed or satellite transmission used in the distribution of the coverage of any SUN ’n FUN event to its authorized broadcast and cable networks or other authorized users except with the express written consent of SUN ’n FUN.
  • No commercial entity may make any Recording of any SUN ’n FUN event or activity, including without limitation, the annual SUN ’n FUN, without the express written permission of SUN ’n FUN. Every approved broadcaster’s camera operator (commercial or news media) at SUN ’n FUN must display the access sticker issued by SUN ’n FUN.  Video or film camera operators who do not display the proper access credential will be escorted off the grounds. Violators may be denied access to future SnF events and legal action may ensue.
  • Use of video material recorded by home-style cameras is restricted to personal use, and any commercial or other use without the express written consent of SUN ’n FUN is strictly prohibited. This includes the sale of any footage obtained on the grounds of SUN ’n FUN to any broadcast entity or other entity.
  • No commercial entity (except legitimately accredited and credentialed media operating under Broadcast/News Media Guidelines outlined in this document) may rebroadcast, retransmit, supply, sell, or re-sell any video material of any SUN ’n FUN event, including the annual SnF, without the express written consent of SUN ’n FUN.
  • Use of video material obtained from any SUN ’n FUN event shall be limited to such use as outlined in this document or as specified in an applicable Licensing Agreement obtained from SUN ’n FUN.
  • “Non-linear” use of SUN ’n FUN content in any program, which includes (but is not limited to) archived television content on the Internet, television content available on a video-on-demand basis, and television content made available via PVR downloads is prohibited without expressed prior written permission by SUN ’n FUN. This also includes images distributed through formats that include (but are not limited to) cellular, personal communications services and other methods of providing content to handheld digital devices pages, specialized mobile radio and wireless internet (including WI-FI).

Broadcast/News Media Guidelines

  • Only Broadcast and Film News Media who are legitimately accredited and credentialed by SUN ’n FUN are allowed to broadcast, rebroadcast, or cablecast video material obtained at SUN ’n FUN event.
  • All legitimately accredited and credentialed Broadcast and Film News Media must agree to follow the SUN ’n FUN Guidelines for Television crews, including all SUN ’n FUN grounds access provisions, as later stated in this policy.
  • Use of any Recordings obtained from any SUN ’n FUN event shall be limited to five minutes and must be used within 48 hours after the close of the event, except by permission of SUN ’n FUN.
  • All Recordings of SUN ’n FUN events obtained from SUN ’n FUN must provide the appropriate video credit “Courtesy of SUN ’n FUN Aerospace Expo.”

Guidelines for Television/Video Crews

  • Television crews must follow the directions of officials at all times. If matters require clarification, contact the SUN ’n FUN Marketing Department.
  • Television crews must remain behind the established crowd line at all times while filming the air show or other aerial activities.
  • Persons and vehicles of any type are not permitted beyond the crowd line without authorization from SUN ’n FUN. Those requiring access for the purpose of performing their job should contact the SUN ’n FUN Marketing Department through the onsite SUN ’n FUN Media Center to obtain additional permissions. The SUN ’n FUN Media Department works in conjunction with SUN ’n FUN Air Operations to coordinate additional permissions for access beyond the crowd line. Anyone going beyond the crowd line without the proper authorization will be escorted off the field and access to future events may be denied and/or limited.
  • Safety is the primary concern of any decisions made by SUN ’n FUN while directing television crews and other media representatives on the grounds. Other factors, however, may also govern the access decisions established by SUN ’n FUN officials.

Live Video Streaming / Web Streaming Policy

  • The SnF Inc. allows accredited media organizations to distribute online video content in a live manner, including interviews and news conferences, on the SUN ‘n FUN grounds.
  • The grounds are regarded as property owned and/or leased by SnF Inc. for the SNF event. That distribution must take place in accordance with the following policy:
  • Live web streaming is allowed as long as SNF Inc. has not entered into a contract for exclusive live coverage from the grounds during SnF. If there is an exclusive outlet providing live web streams through contract with SnF, other live web streams are prohibited during the event.
  • All live web streaming requests must be approved by SnF Inc. in writing prior to arrival and setup at SnF.
  • Live web streaming by non-SnF entities may take place only from a single “studio” location (media trailer or adjacent set, news conference area, exhibitor location, etc.). No roving, live web streams or live webcams are allowed, nor are live web streams from the generally established air show flight line/crowd line/event areas except via express written agreement with SnF Inc.
  • Any live web streams will feature an SnF-provided open and close that must be run for each individual web stream unit.
  • Those entities providing live web streams from the SnF grounds will provide a minimum 15-minute interview with a designated SnF representative for each day a live web stream is made from the SnF grounds.
  • Any use of wireless technology in the creation and/or distribution of live web streams must be approved by SnF, to ensure that those frequencies do not interfere with frequencies used for aircraft operations/safety, or those already in use as part of SnF’s infrastructure.
  • Any live web stream must appear in an editorial context only (no sponsorship, merchandising or advertising integrated with or around the content).
  • SnF Inc. is permitted to link without charge or obligation to all posted web streams originating from the SnF grounds so long as that content is available online or as part of an online video archive.
  • SnF maintains the right to update this policy at any time and without advance notice.

Acceptance of your media credential means you acknowledge, understand, and accept SUN ’n FUN Fly-In Inc. Media Guidelines and Policies as outlined above.  Acceptance of those policies is a specific condition of your admittance to the SUN ’n FUN event. Any violation of these policies may result in exclusion from SUN ’n FUN grounds and/or the annual SUN ‘n FUN Event; and may also result in fines, and/or criminal/civil prosecution.

SUN’n FUN Copyright / Media / Trademark Policy

SUN ‘n FUN Aerospace Expo (SUN ‘n FUN) realizes that SUN ‘n FUN enthusiasts enjoy capturing the excitement of SUN ‘n FUN through the making and taking of recordings (including still and moving images, sound etc.). As such, SnF permits those attending SUN ‘n FUN to make recordings (regardless of the means of capture or storage, e.g., film, digital, video, or other format/media) for their personal use only.

SUN ‘n FUN has worked hard to make SUN ‘n FUN what it is today and therefore, we have a vested interest in the intellectual property rights to the SUN ‘n FUN event.

As the creator and producer of SUN ‘n FUN Aerospace Expo, SUN ‘n FUN has a substantial investment in the intellectual property rights to the event – not only during the event but on a continuing, perpetual basis. SUN ‘n FUN retains all worldwide rights to SUN ‘n FUN and to any Recordings that are taken at or of SUN ‘n FUN, either on or off the SUN ‘n FUN grounds.

SUN ‘n FUN is the sole owner of trademarks, copyrights and other proprietary rights connected with SUN ‘n FUN, Aerospace Center for Excellence, the Florida Air Museum or any SUN ‘n FUN event.

The event and organization names may be used for news purposes and consistent with the First Amendment. Nothing in these terms and conditions authorizes or allows violation of any SUN ‘n FUN trademarks, copyright or other proprietary rights.

The sale or use of any Recording of any aspect or activity connected with SUN ‘n FUN (including but not limited to aircraft, crowds, air shows, forums, exhibits, etc.) for commercial purposes without SUN ‘n FUN’s written permission is strictly prohibited, not only during the event but on a continuing, perpetual basis, except as may be expressly permitted by a written agreement with SUN ‘n FUN.

This includes, but is not limited to, “Non-linear” use such as archived television content on the Internet, television content available on a video-on-demand basis, and television content made available via PVR downloads is prohibited without expressed prior written permission by SUN ‘n FUN. This also includes images distributed through formats that include (but are not limited to) cellular, personal communications services and other methods of providing content to handheld digital devices pages, specialized mobile radio and wireless internet (including WIFI).

Legitimate media representatives seeking to cover SUN ‘n FUN events must first seek accreditation from SUN ‘n FUN. SUN ‘n FUN grants accreditation at its discretion, and requires that any Recordings made are used ONLY by the publication(s) he or she is officially representing, and only for the purposes stated in the accreditation request. Any accreditation or permission which may be granted is not assignable or transferable, and use of said Recordings or accounts by any other publication(s) or for other purposes is strictly prohibited, unless additional written permission is obtained by said publication(s) from SUN ‘n FUN. The taking of Recordings for such uses as photo or video stock houses is also prohibited, unless written permission from Sun ’n fun has first been obtained.

This Policy also prohibits use of SUN ‘n FUN Recordings, and SUN ‘n FUN trade marks and trade names in secondary promotional usages, such as promotional portfolios, web sites and other settings that endorse a specific photographer or company. Written permission must be obtained before such uses are allowed.

Trademark Policy

The use of any or all of SUN ‘n FUN trademarks or trade names without express written permission is strictly prohibited in any manner, shape or form, commercial or private. This applies regardless of whether the use is sold, worn by employees, or given away / distributed at no cost to the recipient.

SUN ‘n FUN retains the right to enforce its rights against any person(s) violating SUN ‘n FUN’s Copyright/Media and Trademarks Policy, especially those who attempt to sell Recordings or use SUN ‘n FUN trade marks or trade names for commercial purposes without express written permission from SUN ‘n FUN. Violators shall be subject to all available remedies of U.S. and International law, up to and including injunctive relief.

Use of SUN ‘n FUN related logos, words, graphics, designs, photographs (film or digital) and/ or any other images that depict or reference the annual SUN ‘n FUN convention/fly-in (including any use that commemorates, denotes, references or otherwise makes some association with the SUN ‘n FUN convention/fly-in) without the prior written consent of SUN ‘n FUN is strictly prohibited. This includes, without limitation, commercial uses, giveaways, advertising, promotions, endorsements, sales, rentals, displays, or products or services.

Any use, attempted use, or registration of any trade mark or trade name that is similar or confusingly similar to the marks listed in Appendix A is strictly prohibited. SUN ‘n FUN reserves the right to amend and update this policy and Appendix A at any time.
